PROJECT OVERVIEW
A joint venture between major construction and engineering firms is seeking a Contract Administrative Assistant to support the development of a new dry dock facility at a naval shipyard in Pearl Harbor. This large-scale marine infrastructure project plays a critical role in supporting naval operations in the Pacific region.
JOB OVERVIEW
The Contract Administrative Assistant will support contract administration activities, assist with subcontract processing, and provide general administrative support to the legal and operations teams. This role is ideal for someone detail-oriented who can manage documentation, deadlines, and communication across multiple stakeholders.
PRIMARY RESPONSIBILITIES
Assist with administration of prime contracts and new project setup
Process subcontractor agreements for internal review and signature
Support bonding and insurance documentation, including certificates of insurance
Maintain and organize electronic filing systems for contract documents
Utilize DocuSign workflows for document processing
Track and follow up on pending or delinquent subcontract documents with field staff
Assist with initiating subcontractor payments
Provide administrative support for audits, reporting, and filing
Support estimating team with subcontractor background checks
Maintain subcontractor prequalification database
Update and manage subcontractor information in company databases
QUALIFICATIONS
Basic knowledge of construction and engineering terminology
Familiarity with construction insurance and bonding concepts
Strong attention to detail and high level of accuracy
Excellent written and verbal communication skills
Ability to prioritize tasks and meet deadlines
Proficiency in Microsoft Office Suite
Experience with DocuSign, Textura CPM, or Textura PQM preferred
Ability to work effectively in a team environment
Basic math skills
High School Diploma or equivalent required
1–2 years of administrative experience in an office setting preferred
