About Us:
We are a growing photography company serving Maui, Oahu, and Kauai. We specialize in capturing meaningful moments for couples and families, creating timeless portraits in some of Hawaii’s most beautiful locations. As we continue to expand, we are looking for a highly organized and proactive Administrative Coordinator to join our team.
Position Overview:
This role is essential to the day-to-day operations of our business. The ideal candidate is detail-oriented, has strong customer service experience, responsive, and thrives in a fast-paced, client-focused environment. You will be the main point of contact for clients and play a key role in ensuring smooth scheduling, communication, and delivery of services.
Key Responsibilities:
Answer and manage incoming client phone calls and emails in a professional and timely manner
Provide excellent customer service and ensure a seamless client experience
Coordinate and schedule photoshoots with clients and photographers
Use of Google Calendar, Gmail, Dropbox, PicTime and Fareharbor
Assign and delegate bookings to photographers across multiple islands
Upload and manage client galleries
Maintain organized records of bookings, client communication, and schedules
Assist with general administrative tasks to support daily operations
Assist with social media posts & responding to Google reviews
Qualifications:
Previous administrative, customer service, or coordination experience preferred
Strong communication skills (written and verbal)
Excellent organizational and time management abilities
Ability to multitask and prioritize in a fast-paced environment
Tech-savvy and comfortable with email, scheduling tools, and online platforms
Extensive knowledge of Maui, Oahu, and Kauai is required, including familiarity with popular photography locations, travel logistics, and weather patterns across the islands
Hawaii-based applicants are welcome but not required, provided the candidate has strong, working knowledge of the islands
Experience in photography or creative industries is a plus but not required
Must be reliable, detail-oriented, and self-motivated
