Objective: Oversee the operations, maintenance, and safety of the Association’s common property in order to preserve and enhance the common areas.
General Responsibilities Include:
Project Proposals and Contracts:
1. Prepare and send bid specifications for Board approved projects and the Reserve Study Schedule, conduct on-site inspections with bidders to answer questions and clarify scope, evaluate proposals and prepare a written recommendation to the Board of Directors, prepare contracts for work, inspect and monitor work progress thru project completion.
2. Contracts should expressly state warranties, time frames to complete work, penalties for not completing work as scheduled, and vendor insurance and licensing requirements shall be verified.
Landscape and Irrigation Maintenance:
1. Meet with landscape contractors for bi-weekly onsite inspections, submit punch list items that require follow up/completion by the vendor, maintain and track quarterly maintenance schedules, approve invoices for work completed.
2. Monitor the monthly water usage for common areas and notify vendors of water usage concerns; Monitor the Eye on Water app for leak detection, correspond with the Department of Water Supply, when required.
3. Review landscape maintenance contracts prior to renewal and suggest contract scope and pricing updates.
4. Schedule backflow preventer testing when required by the Department of Water Supply.
Vendor Insurance Updates:
Ensure the Association is named as additionally insured with all contractors and manage current Certificates of Insurance
Roadway Dedications:
Oversee and manage Association owned roadway dedications to the County of Maui, including but not limited to, submitting a dedication request through the Maui County.gov MAPPS system. Provide specific documents for review before final approval, and ensure the street improvements meet county standards before the County officially accepts and records the dedication.
Developer Turnover Dedications to the Association:
Oversee and manage developer turnover dedications to the Association. Ensure dedicated sections meet Association standards prior to turnover through project punch lists. Assist with the turnover of utilities accounts, and landscape and irrigation maintenance.
Reserve Study Updates: Assist contracted reserve specialists with requested documentation so a thorough and comprehensive reserve study can be completed.
Community Outreach Representative:
Communicate with Owners, when required, regarding project maintenance schedules
Prepare and install signage for community events
Contact the appropriate agency for public common area concerns, including but not limited to, reporting dead animals on roadways, abandoned vehicles, damaged or missing roadway signage or striping in County owned roadways, trespassing issues in Association owned common areas, street lights out, utility box damage or issues, or other incidents or concerns affecting the common areas within the Maui Lani Community.
