After-School All-Stars (ASAS) is a leading national after-school program provider.  Our comprehensive school-based programs combine activities and learning to help build the knowledge and skills children need to succeed, both in school and in life.  Founded as a national organization by Arnold Schwarzenegger in 1992, ASAS is building a national model for after-school program delivery through our 13 chapters, all of which serve at-risk youth in major U.S. cities.  <br>

The Position:<br>
After-School All-Stars Hawaii is currently seeking an Office Coordinator (OC) to help run the ASAS Hawaii Office and to support a small staff.  This is an entry-level position, requiring a strong work ethic, positive attitude, strong organizational skills, and excellent interpersonal communication.  Interest in the non-profit arena is a big plus.<br>

Some Specific Responsibilities Include:<br>

	Event coordination  manage logistics for the following meetings and events:<br>

	Information hub for ASAS Hawaii Office:<br>

o	Collect payroll documentation from the ASAS Hawaii Headquarters and ASAS Hawaii program sites on a bi-weekly basis, and send to the ASAS National Headquarters for processing.<br>
o	Act as payroll liaison between ASAS National and ASAS Hawaii staff.<br>
o	Prepare invoices for payment (involves collecting invoices, getting ED sign off, and sending the ASAS National Office for processing).<br>

	Fund Development:<br>
o	Maintain fund development files.<br>
o	Track fund development activities.<br>
o	Assist in grant research and grant writing. <br>
o	Process donations (e.g., documenting donations, sending thank-yous).<br>

	Purchasing:<br>
o	Office supplies<br>
o	Marketing collateral<br>

	General office administration:<br>
o	Process incoming and outgoing mail<br>
o	Receive/screen incoming calls <br>

Traits and Characteristics:<br>
The individual is expected to be highly organized and task oriented.  A positive attitude and a collaborative style are important attributes.  The OC will be an open, confident, proactive professional who is accessible, flexible, has excellent written and oral communication skills, and has a proven track record for managing multiple projects simultaneously.  The OC should also be proficient in Word, Excel, Outlook and Powerpoint, as well as management of computer files and folders.  There is a strong preference for individuals with advanced skills in Word, Excel and Outlook (e.g., mail merges, data analysis in Excel).  Preference will also be given to candidates who are tech savvy, and have the ability to resolve minor technology-related challenges.<br>

This position reports to the Executive Director.<br>

Education and Experience:<br>
An undergraduate degree is preferred.  The position requires at least three years of professional work experience.<br>

Primary responsibilities:  This position acts as the central office contact for the UMMA Development Department.  Responsibilities include the proactive distribution of internal and external requests to insure appropriate and timely follow up by Development Staff. Position requires constant multitasking abilities.<br>

Primary duties:<br>

1.	Manage the logistics of the development department VIP Tours including the security access, specialty guides, inter-department relations, client confirmation notices, and follow up activities.<br>

2.	Coordinate staff reimbursement requests, check requests, and receipts.  Ensure all invoices are signed by the VP of Development, photocopied, and put in the expense binder for reference. <br>

3.	Open and distribute mail, photocopy gifts, prepare checks, and credit cards to give to accounting.<br>
<br>
4.	Set up meetings for Board Development committee, and special meeting for VP of Development.  Prepare document packets for meetings.<br>

5.	Assist with the coordination of development department volunteers	<br>
<br>
6.	Provide general phone and front office back-up assistance as needed.		<br>
	<br>
7.	Oversee the State Registration process including tracking of forms received, completed, check request, and mailing.<br>

8.	Manage expense binder for invoice management to assist staff with budget management.  Log activity expenses and verify with finance/accounting staff to insure event activities are within budget.<br>

9.	Support and assist with bulk mailings including stuffing and fulfillment of membership benefits to aim for a 48 hour acknowledgement turn around.<br>

10.	Manage the postage meter budget, and refilling of electronic tapes.<br>

11.	Assist at special events and activities that support development goals.		<br>

Working Conditions:   Position works inside a business office with moderate noise such as computers, typewriters and printers.<br>

Summary:  Read Aloud America (RAA) believes that reading aloud to children is the best way to prepare them for success in school  and in life  and that reading attitudes and habits shaped at home support the learning that occurs in school.  Since 1999, RAA has implemented its innovative family literacy program, RAP, the Read Aloud Program, at 80 Hawaii public schools and has attracted more than 166,000 adults and children.  The Office Manager is responsible for daily bookkeeping, assisting with program duties, maintaining office equipment and appearance, as well as assisting with the rapid expansion of the organization.   <br>

Essential Duties:<br>
	Process accounts payable, accounts receivables, payroll and work with the accountant to perform basic bookkeeping duties<br>
	Oversee the maintenance, appearance and operation of office equipment including, but not limited to computers, copiers, fax, and telephones<br>
	Assist Management with special projects including but not limited to filing, typing, writing letters, copying, and other office duties<br>
	Support program staff as needed<br>
	Update and maintain RAP participants, donors, volunteers, and employee records <br>
