Local small business in the construction industry seeks a professional and proficient Contract Administrator to bring unique qualifications and a stellar work ethic to enhance the growth of our company. This high profile and rewarding position requires the ability to learn quickly, communicate effectively, and take initiative.

Responsibilities include:
• Manage full life-cycle proposal and contract activities from cradle to grave within approved signature authority
• Coordinate, administer and supervise daily internal operations, using standardized methods relating the processing and recording of contracts for each project
• Prepare and submit proposals for customer requirements
• Work closely with Owner, Sr. Contract Administrator and Superintendent to lead discussions on proposal cost strategy and provide special rate calculations and other significant financial impacts with financial operations
• Negotiate and establish teaming agreements with prospective partners to respond to client’s solicitation requirements
• Direct activities concerned with contracts for purchase or sale of equipment, materials, products, or services
• Oversee the execution of contract administration policies and procedures in accordance with corporate and sector policies and procedures
• Examine performance requirements, delivery schedules, and estimates of costs of material, equipment, and production to ensure completeness and accuracy
• Prepare bids, process specifications, tests and progress reports, and other exhibits that may be required
• Review bids from other firms for conformity to contract requirements and determines acceptable bids
• Negotiate contract with customer or bidder
• Request or approves amendments to or extensions of contracts
• Advise planning and production departments of contractual rights and obligations
• Compile data for preparing estimates
• Promote and coordinate the acceptance of work
• Complete and distribute evaluation forms and other job and project monitoring forms
• Maintain and issue contract status reports
• Prevent and resolve contractor claims and back charges • Prepare, receive, and verify both company and customer invoices
• Coordinate work of sales department with production and shipping department to implement fulfillment of contracts
• Act as liaison between company and subcontractors
• Load and manage contact information in contract management system (intranet/internet)
• Ensure compliance among staff
• May direct sales program
• Perform additional assignments per Owner and/or supervisor’s direction

Qualifications include:
• Prior experience managing contracts, especially Federal Government, is strongly preferred
• A bachelors or masters degree is strongly preferred
• Pricing experience on contract proposals (i.e. bid processes)
• Comprehensive knowledge of typical practices, procedures and processes
• Hands-on experience with developing proposals/bids
• Effective administrative and communication skills are a must
• Excellent written and verbal communication skills
• Strong organizational, analytical and negotiation skills are required
• Proficient in using Quickbooks, MS Word, MS Outlook, MS Excel, Internet and typical office equipment (i.e. printer, fax, scanner)
• Must be a team player and able to work effectively under deadlines, a fast-paced environment, and under pressure
• Strong negotiation skills
• A keen ability to effectively juggle multiple priorities
• General knowledge of purchasing, finance, and control principles are helpful

Conditions include:
• Full-time permanent position
• Work days/hours: Monday – Friday, 8am – 5pm
• Location: Kapolei, O’ahu
• Light occasional driving to customer meetings and job sites may be necessary

Benefits include:
• $17 per hour to start
